Cancellation & Rescheduling Policy

We understand that plans can change, and we’re committed to working with you to ensure the best outcome for your event. The following policy outlines our current standards for cancellations, rescheduling, and payments.

If there is any discrepancy between this policy and your signed Client Agreement or Invoice, the terms outlined in your Client Agreement will take precedence.

  • A non-refundable deposit is required to secure all bookings.
    • If your invoice total is $1,000 or less, full payment is due at the time of booking.
    • If your invoice exceeds $1,000, a 50% deposit is required to secure the date, with the remaining balance due:
      • 7 days prior to the event, or
      • 14 days prior if the event falls within our peak months: June, July, November, and December.
  • For custom work (e.g., costumes or props), 100% of custom work fees must be paid before production begins.

Standard Event Dates:

  • Within 7 days of the event → 100% of the total fee is due.
  • 18–30 days before the event → 50% of the total fee is due.
  • More than 30 days before the event → 25% of the total fee is due.

High-Demand Dates (July 1st, Nov 15–Dec 31):

  • Within 30 days of the event → 100% of the total fee is due.
  • 31–90 days before the event → 50% of the total fee is due.
  • More than 90 days before the event → 25% of the total fee is due.

Note: Inclement weather, anticipated low turnout, or similar reasons are not valid grounds for cancellation or refund.

  • Rescheduling requests must be made with sufficient notice (see cancellation timelines above).
  • The new date must be within 90 days of the original event date.
  • Rescheduling is subject to TriXtan’s availability and may incur additional fees.
  • If no rescheduled date is confirmed before the original event date, the cancellation policy applies, and full payment may be due.
  • Final payment is due before the event, per your invoice terms.
  • Late payments will result in:
    • An administrative fee of the greater of $75 or 10% of the unpaid balance
    • Weekly interest charges of 2%
  • Clients may reschedule an event one time only without penalty. Additional changes may result in cancellation fees.

In rare cases where TriXtan must cancel due to illness, emergencies, or Acts of God, we will:

  • Provide an equivalent replacement where possible
  • Attempt to reschedule the service
  • Offer alternate solutions or partial credit as appropriate
